Batch Coding Printer Spare Parts: What Wears Out, and What Fits What

A parts reference for every kind of batch coding printer — handheld thermal inkjet, continuous inkjet, thermal transfer overprinters and laser coders. What each part does, the symptom when it fails, where a compatible part is fine and where it is a false economy, and how to identify the one you need before you order.

A batch coding printer does not usually fail. A part of it does — a filter that has done its hours, a nozzle that has taken a knock, a roller that has gone hard, a print head run dry at the edges. The machine is fine. The line is stopped anyway, and the question is which part, whether it has to come from the manufacturer, and how quickly you can have it. This guide answers all three, for every kind of coder in normal use.

What this guide covers

1. Work out exactly which part you need

Almost every wrong-part order starts the same way: somebody describes the part in words. "The filter." "The small pump." There are usually three filters and two pumps, and they are not interchangeable. Three pieces of information identify practically any coding printer part, and between them they take about ten minutes to gather.

The machine model plate. Manufacturer, model designation and serial number. On a continuous inkjet cabinet it is usually on the rear or inside the door. On a thermal transfer overprinter it sits on the chassis behind the ribbon cassette. On a handheld it is under the battery or on the base. Photograph the whole plate, not the model line alone — the serial number is what places your machine in a revision.

The number on the old part. Filters, pumps, nozzles and print heads nearly always carry one, etched or printed on the body. Photograph it rather than transcribing it: the characters are small, some of them are ambiguous, and a single wrong digit buys the wrong item at full price.

A photograph of the part still fitted. This is the one people skip and the one that settles arguments. The picture shows the connector type, the orientation and what sits either side of it, which is how two revisions of a part sharing one number get told apart.

Add a fourth thing that is not about the part at all: what the machine is actually doing wrong. A weak or missing jet, a print that fades across the pack, and a machine that will not hold viscosity are three different faults pointing at three different parts. Ordering correctly against a wrong diagnosis is the most common reason a new part changes nothing.

2. Four kinds of machine, four wear stories

"Batch coding printer" covers four quite different machines. What wears out on each one follows from how each one puts ink on a pack, so it is worth reading the family that applies to you rather than the whole section.

The intervals below are indicative, gathered across machines of each type to give you an order of magnitude. Your machine manual states the interval for your model, and where the two disagree the manual wins.

Handheld thermal inkjet (TIJ)

The simplest machine to keep running, because the expensive part is a consumable. The print head is built into the cartridge, so a blocked nozzle plate is something you throw away rather than something an engineer visits for. Everything else on a handheld is mechanical or electrical.

Continuous inkjet (CIJ)

The machine with the most parts, and the one that rewards planned servicing more than any other. A continuous inkjet head fires a constant stream of ink drops, charges the ones it wants, deflects them onto the pack and returns the rest through the gutter to be reused. Everything in that loop is filtered, pumped and measured, which is why its parts list is long.

Note how many of these faults have the same root cause. A filter left in past its hours does not announce itself as a filter problem: it shows up as nozzle blockage, then as pressure faults, then as a nozzle assembly that has to be replaced. On a continuous inkjet machine the cheapest part on the list is usually the one causing the most expensive fault on it.

Thermal transfer overprinter (TTO)

Used on flexible film, usually on a form-fill-seal machine. A heated print head melts ink off a carrier film onto the pack. There is no ink system to maintain at all, and correspondingly the whole parts story is mechanical, with one expensive exception.

The print head deserves its own warning

It is by some distance the most expensive part on the machine, and it almost never dies of old age. Four things kill it early: running a carrier film narrower than the print area, so the head runs dry against the platen at the edges; abrasive dust on the film path; too much head pressure; and a heat setting turned up to compensate for one of the first three. Replacing a head without finding which of the four it was buys you the identical failure again.

Laser coder

No ink, so no consumable in the usual sense, which is the whole argument for buying one. The parts that do wear are optical and thermal, and they fail quietly: a laser coder rarely stops, it just marks progressively worse until somebody looks at a pack properly.

4. Where a compatible part is fine, and where it is not

There is no single answer to "are compatible parts any good", and anybody who gives you one is selling something. The useful split is not by brand or by price but by what the part actually has to do. Some parts have a tolerance you can see with your eyes. Some have a tolerance measured in microns that decides whether your print is readable.

Buy carefully, or buy original

  • Continuous inkjet nozzle assemblies
  • Thermal transfer print heads
  • Anything carrying an authentication chip
  • Optics on a laser coder
  • Ink, makeup and solvent for a sealed system
  • Every part on a machine still inside its warranty

The warranty point is the one worth being blunt about. While a machine is still covered, fitting a non-original part is the fastest way to find out that it is not any more, and the saving on one part is small against losing cover on the whole machine. Once the warranty has expired the calculation inverts, and that is where sensible compatible-part buying happens — which is also why so much of this demand is for machines five and ten years old.

The second thing worth saying plainly: a part that nearly fits a coding machine is worse than no part at all. No part stops the line for a day. A nearly-right nozzle runs for a week and puts unreadable codes on product that has already shipped.

5. Ink, makeup and solvent

Fluids sit somewhere between a part and a consumable, and they cause more expensive trouble than either. On a continuous inkjet machine the ink is not simply a colour. Its solvent balance is the thing the viscometer measures, the thing the pump is tuned for, and the thing that determines whether a drop breaks off the jet at exactly the right point. Makeup is the solvent added back as the ink evaporates, and it is matched to that specific ink.

Which is why substituting a fluid by eye does not work. The wrong makeup rarely fails on the day it goes in; it shows up two or three weeks later as a gutter fault, a nozzle that keeps blocking, or a viscometer chasing a target it cannot reach. By then nobody connects it to the drum that was changed a fortnight ago. Sealed and chipped systems will refuse an unrecognised fluid outright, which is annoying but is at least an honest failure.

Three practical points. Fluids have a shelf life, so buying a year of ink to get a discount can mean throwing some of it away. They are flammable solvents, which affects how you store them and how they can be shipped. And every drum should arrive with a safety data sheet — if a supplier cannot produce one, that tells you something about the rest of what they sell.

Thermal inkjet is much simpler, because the ink and the print head are the same throwaway item. The only choice that matters there is porous against non-porous: water-based ink for carton and board, solvent-based fast-dry for plastic, foil, glass and metal. Water-based ink on a plastic pouch prints beautifully and wipes off with a thumb, which is the single most common coding mistake we are asked about.

6. What to keep on the shelf

The test for a standing spares kit is not what breaks most often. It is what stops the line for a week if you do not have it. A part that fails twice a year but is three days away costs far more than one that fails monthly and is in the cupboard.

Handheld TIJ

A spare cartridge of each ink type you use, a spare battery, and a spare guide roller. That is the whole list, and it fits in a drawer.

Continuous inkjet

A full filter set, one spare nozzle assembly if you run a single machine with no backup, and enough ink and makeup to cover your longest realistic lead time.

Thermal transfer

A spare platen roller and a drive belt, both cheap. A spare print head only if a stopped line costs you more per day than the head does, which on a food line it usually does.

Laser coder

Protective windows by the box and a spare extraction filter. Both are inexpensive, and between them they prevent most of what goes wrong with the optics.

One more thing that costs nothing: write your machine model, serial number and the part numbers you have already ordered on a card taped inside the machine cabinet. The next emergency happens at eleven at night, and whoever is standing in front of it will not be whoever ordered last time.

  • TIJ — thermal inkjet. The print head is inside the cartridge, so head and ink are replaced together.
  • CIJ — continuous inkjet. A constant jet of drops, charged and deflected onto the pack, with the rest recirculated.
  • TTO — thermal transfer overprinter. A heated head melts ink off a carrier film onto flexible packaging film.
  • Nozzle assembly — the part of a CIJ head that forms the jet and breaks it into uniform drops.
  • Charge electrode — puts a charge on the drops selected for printing, so they can be steered.

Do you supply spare parts for Videojet, Domino, Linx or other major brands?
Yes. We manufacture batch coding printers and their parts, and we supply parts against the major coding brands — Videojet, Domino, Markem-Imaje, Linx, Hitachi, Citronix, KGK, Leibinger, EBS, Anser, Sojet, Kortho, Zanasi, Control Print and others. We are not an authorised dealer for any of them, and those names are used only to identify the machines a part is meant to fit. Are compatible parts as good as the original manufacturer parts?
It depends entirely on which part. Filters, rollers, belts, cables, batteries and chargers are commodity items where a good compatible part performs identically for a fraction of the price. Nozzle assemblies, print heads and anything carrying an authentication chip are a different matter: they are made to tolerances that decide print quality, and a cheap one can cost you more in scrapped product than it saved. The honest answer is part by part, which is why this guide splits them rather than giving you one rule.
Will fitting a compatible part void my printer warranty?
It can, and you should assume it does until the manufacturer tells you otherwise in writing. A machine still inside its warranty period is the one case where paying the manufacturer price is almost always correct, because the saving on a single part is small against losing cover on the whole machine. Once the warranty has expired the calculation changes completely, and that is where most compatible-part buying sensibly happens.
How do I find the part number on my coding printer?
Two places. The machine itself carries a model plate with the manufacturer, model and serial number, usually on the rear of a continuous inkjet cabinet, on the chassis behind the ribbon cassette of a thermal transfer overprinter, or under the battery of a handheld. The part itself usually carries its own number, etched or printed on the body. Photograph both rather than typing them out: these numbers are long, the characters are small, and one wrong digit orders the wrong item.
Can I use a different brand of ink or makeup in my continuous inkjet printer?
Not without checking first, and usually not at all. Continuous inkjet fluids are formulated for a specific machine: the solvent balance is what the viscometer measures and the drive system depends on, and the wrong makeup shows up as a gutter fault or a blocked nozzle weeks after the change rather than immediately. Sealed or chipped systems will simply refuse it. Some machines do accept an equivalent fluid, but that is a question to ask about your exact model with the answer in writing, not something to work out from the colour of the bottle.
How often do continuous inkjet filters need changing?
Most manufacturers specify a service interval measured in running hours rather than months, commonly somewhere between two thousand and eight thousand hours depending on the machine and the filter, with air filters changed more often in a dusty plant. Treat any figure you read online, including that one, as indicative only: your machine manual states the interval for your model, and a filter left in past it is the cheapest part on the machine causing the most expensive fault on it.
My handheld cartridge stopped printing halfway through a roll. Is the machine broken?
Usually not. On a thermal inkjet machine the print head is built into the cartridge, so a blocked or worn head is a consumable fault rather than a repair. Wipe the nozzle plate with a lint-free cloth and a little of the matching solvent, check the cartridge contacts and the holder contacts for ink residue, and try a known-good cartridge. If a second cartridge prints correctly, the first one was the fault. If neither prints, the holder or its contacts are the next thing to look at.
How long does a thermal transfer print head last?
Manufacturers usually quote print head life in kilometres of ribbon rather than in months, because that is what actually wears it. What shortens it is almost never age: it is running a ribbon narrower than the print area, so the head runs dry against the platen at the edges, along with abrasive dust, excessive head pressure and too much heat setting. A head that fails early nearly always has one of those four causes, and replacing it without fixing the cause buys you the same failure again.
Do you supply parts in bulk to service companies and resellers?
Yes, and it is a large part of what we do. Because we manufacture the machines and their parts ourselves, bulk orders for parts and accessories are quoted directly rather than run through checkout one line at a time. The same applies to white-label OEM orders, where we build machines in bulk for you to sell under your own brand. Tell us the quantities and the machines you support and we will quote you.
Do you ship parts across India, and is there a GST invoice?
Yes to both. Parts ship anywhere in India and every order carries a proper GST invoice raised against your GSTIN, so a registered business can claim input tax credit in the normal way. Coding equipment and its parts are invoiced under HSN 8443 32 50 at 18 percent. If you are in or near Pune you can also collect from the store rather than wait on a courier.
What happens if you cannot source the part I need?
We tell you, rather than sending you something close. A part that nearly fits a coding machine is worse than no part, because it fails in production rather than on the bench. Where we cannot supply something we will say so plainly, and where we can suggest a different route — a rebuild of the assembly you have, or a different part that solves the same fault — we will.
Can you supply parts for a machine you did not sell me?
Yes. Most of the parts enquiries we handle are for machines bought from somebody else, often years ago, and sometimes for a brand that no longer has a service presence nearby. The machine does not have to be ours for us to help you keep it running. Send the model plate and a photograph of the part and we will tell you what we can do.
